This Privacy Policy explains how Menlo Insurance Services collects, uses, shares, and protects information when you visit our website, request a quote, or communicate with us. It applies to this website and to the insurance services we provide as a licensed producer.

By using this website you agree to the practices described here. If you do not agree, please do not use the site or submit information to us.

Information we collect

We collect information in three ways: information you give us directly, information collected automatically as you use the site, and information we receive from insurance carriers and other partners in the course of placing coverage.

Information you provide may include your name, contact details, business information, property and vehicle details, prior insurance and loss history, and other facts needed to prepare a quote or service a policy. If you apply for coverage, this can include information that carriers treat as sensitive, such as driving records or details relevant to underwriting.

  • Contact information such as name, email address, phone number, and mailing address.
  • Insurance information such as coverage requested, policy details, prior carriers, and loss or claims history.
  • Usage information collected automatically, such as IP address, browser type, pages viewed, and referring pages.
  • Communications you send to us, including messages, form submissions, and support requests.

How we use your information

We use the information we collect to operate our business and to serve you as an insurance client.

  • To prepare quotes, place coverage, and service policies with insurance carriers.
  • To respond to your questions, requests, and support inquiries.
  • To maintain records required by law and by our carrier and regulatory obligations.
  • To improve our website, content, and services.
  • To send you information about your policies or, where permitted, relevant updates you can opt out of at any time.
  • To detect, prevent, and address fraud, security issues, and misuse of the site.

Contact permission for calls and texts (full consent terms)

Our quote forms include a consent checkbox whose full terms are set out here and incorporated into the form by reference. By checking that box and sending your request, you provide your electronic signature and your prior express written consent for Menlo Insurance Services to contact you at the phone number provided about insurance quotes, products, and services by phone call or text message (SMS), including with an automatic telephone dialing system, an artificial or prerecorded voice, or an AI generated voice, even if your number is on a Do Not Call registry.

Consent is not a condition of purchase. You may instead call (628) 285-5140. Message frequency varies and message and data rates may apply. You can revoke consent at any time by replying STOP to a text or by telling any caller to stop.

We record the consent text version you were shown, the time, and the checkbox state with your request so your consent choices are honored accurately.

How we share your information

We do not sell your personal information for money. We do share personal information with advertising partners for cross-context behavioral advertising, which California law treats as "sharing" and gives you the right to opt out of. See "Your choices about advertising" below. Otherwise we share information only as needed to provide our services and as described here.

  • Insurance carriers, wholesalers, and surplus lines brokers, to obtain quotes and place or service coverage on your behalf.
  • Service providers who support our operations, such as hosting, analytics, and communications vendors, under contracts that limit their use of the information.
  • Advertising and measurement partners, including Google and Meta, which receive online identifiers such as cookie or device identifiers, and may receive a secure irreversible code created from your email address or phone number, so we can measure our advertising and show ads to people who have already visited our site or contacted us.
  • Legal and regulatory authorities when required by law, subpoena, or a governmental request, or to protect our rights, safety, and property.
  • A successor entity in connection with a merger, acquisition, or sale of assets, subject to this Policy.

Cookies, analytics, and advertising

We use cookies and similar technologies to operate the site, remember your preferences, and understand how the site is used. You can control cookies through your browser settings. Blocking some cookies may affect how the site works.

We use analytics to measure traffic and improve content. We also use advertising cookies and similar technologies from Google and Meta to measure whether an ad led to a quote request and to show ads to people who have already visited our site. Unlike ordinary analytics, these advertising technologies use identifiers that can single out your browser or device, and the advertising partner may combine them with information it already holds about you. Your choices about advertising (Do Not Sell or Share My Personal Information)

California residents have the right to opt out of the sale or sharing of personal information, including sharing for cross-context behavioral advertising. You can exercise that right in any of these ways, and you do not need an account and will not be asked to justify the request.

  • Send a Global Privacy Control signal from your browser or a browser extension. We treat a Global Privacy Control signal as a valid opt-out request for that browser, automatically, without you having to contact us.
  • Email privacy@menloinsurance.com with the subject line "Do Not Sell or Share". Tell us the email address or phone number you gave us so we can find your record.
  • Use your browser settings to block or delete advertising cookies. Blocking some cookies may affect how the site works.

When you opt out we stop advertising cookies from loading in that browser, and we stop including your details in any list we provide to an advertising partner. Opting out does not stop us from contacting you about a quote you asked for, and it does not delete information we must keep under insurance record-keeping rules.

We do not knowingly use or disclose the personal information of anyone under 16 for advertising.

Your privacy rights

Depending on where you live, you may have rights over your personal information, including the right to request access to it, to request correction or deletion, and to opt out of certain sharing. California residents have specific rights under the California Consumer Privacy Act as amended by the California Privacy Rights Act.

To exercise any of these rights, contact us at privacy@menloinsurance.com. We will verify your request and respond within the time required by applicable law. We will not discriminate against you for exercising your privacy rights.

Some insurance records are governed by separate rules under state insurance law, and certain information must be retained even after a deletion request.

Data security

We maintain administrative, technical, and physical safeguards designed to protect the information we hold. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. Please do not send full account numbers or other highly sensitive details through unsecured email.

Data retention

We keep personal information for as long as needed to provide our services, comply with our legal and regulatory obligations, resolve disputes, and enforce our agreements. Insurance and financial records are often subject to retention periods set by law.

Children's privacy

This website is intended for adults and for business use. We do not knowingly collect personal information from children under the age of 16. If you believe a child has provided us information, please contact us so we can remove it.

Third-party links

Our site may link to carrier portals and other third-party websites. We are not responsible for the privacy practices of those sites. Please review their policies before providing information.

Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will revise the date at the top of this page. Your continued use of the site after an update means you accept the revised Policy.
